FAQs

Important Notice:

Having a subscription to Ecomm Tax Service is a requirement of having an ecommerce store with WTE Partners. Regardless of your ecommerce store's activation status, your LLC should be registered as Sales and Use Tax exempt with the state of Florida, and there are filings that must be submitted to the state of Florida on behalf of your LLC once it is registered for exemption. A monthly subscription to Ecomm Tax Service means that those exemption filings are done on behalf of your LLC, so you never have to think about it! A subscription also provides you with access to the WTE Partners portal and the monthly store statements that are uploaded to the portal. We do not advise canceling your subscription if you plan to continue working with WTE Partners.

Below are some frequently asked questions regarding subscriptions to Ecomm Tax Service:

1. Why do I need a subscription to Ecomm Tax Service?

Ecomm Tax Service provides Ecom Authority with the software for the portal. So, as a part of your monthly subscription to Ecomm Tax Service, you are granted access to use the Ecom Authority portal. A subscription to Ecomm Tax Service is a requirement for all clients who have an ecommerce store managed by Ecom Authority. It is vital to have access to the Ecom Authority portal, as the portal is the channel through which you will communicate with the team handling your ecommerce store, it is where you place inventory orders, and it is where you view your sales data against your costs (profit and loss data).

All new Ecom Authority clients have temporary access to the Ecom Authority portal, which is later removed by Ecom Authority if the client does not subscribe to Ecomm Tax Service within the first two weeks of portal access.

Additionally, Ecom Authority wants all of its clients to be exempt from paying Use Tax in the state of Florida. This is because you purchase inventory for your ecommerce store through Ecom Authority, a Florida company. Ecom Authority does not charge Sales Tax on the inventory at the time of sale. Under Florida tax requirements, if Sales Tax is not charged at the time of the sale, then Use Tax is required to be paid by the purchaser. Your entity (LLC, S Corp, etc.) being registered as exempt from Sales and Use Tax in Florida will keep you from having to pay Use Tax, saving a significant amount on your company's bottom line.

Upon paying for a subscription to Ecomm Tax Service, you are directed to submit the needed information about your entity. As soon as Ecomm Tax Service has all the needed information for your entity, the team immediately registers your entity for Sales and Use Tax Exemption in Florida. Once your entity is registered to be exempt, the team at Ecomm Tax Service has to continue to submit a filing on behalf of your entity every period. The filing is always the same: it always says that your entity owes $0 in Sales and Use Tax in Florida for that period. The filing must be submitted the same way every period, regardless of any activity within your business. The reason the filing must be submitted is because your entity is registered for exemption. If no filing is submitted for a period, your entity will be fined. The filings are not needed based on any activity, but based on the fact that the entity is registered to be exempt. The money you pay for the monthly subscription is going toward the team at Ecomm Tax Service maintaining all filings on behalf of your entity and keeping record of each filing, ensuring there are no fines issued.

Ecomm Tax Service does not register your entity for exemptions in any states other than Florida. We also do not handle any other types of taxes or tax payments.

Ecomm Tax Service does not track sales tax for your ecommerce store managed by Ecom Authority. Ecomm Tax Service does not have any information on your ecommerce store. Sales tax is collected and remitted by the platform your entity is selling on (Walmart, Amazon, etc), so your entity does not need to track sales tax on sales made within the ecommerce store. This is not tax advice.

2. How do I change my payment method for Ecomm Tax Service monthly subscription?

You can change the payment method used for the monthly subscription fee to Ecomm Tax Service by going to the following link:

http://billing.stripe.com/p/login/cN26qs20Q4r0fPqeUU

3. How soon will Ecomm Tax Service have my entity registered?

After you submit your entity's information, please allow the team at Ecomm Tax Service three (3) business days to process your submission.

The team must first verify that you have submitted all needed information for the entity being registered. Ecomm Tax Service may reach out via email requesting you submit additional information if you did not submit all needed information initially.

Once all needed information is submitted, the team at Ecomm Tax Service can register your entity for Sales and Use Tax Exemption. If the registration is approved by the state of Florida, a Certificate of Registration will be sent to Ecomm Tax Service's mailing address via USPS mail. It typically takes 2-4 weeks for the Certificate of Registration to arrive by mail to the Ecomm Tax Service mailing address.

After receiving the Certificate of Registration, the team at Ecomm Tax Service is able to submit your first exemption filing. A filing may or may not be required to be submitted for the current period, depending on the registration date. The team at Ecomm Tax Service will submit an exemption filing on behalf of your entity whenever the first one is due, either immediately for the current period, or for the following period. They will continue to submit filings on behalf of your entity until your subscription to their service is canceled or payment is discontinued.

4. How do I get in contact with Ecomm Tax Service?

You can email Ecomm Tax Service at team@ecommtaxservice.com

5. Why did I get an automated text response when I called?

The phone number listed on our website is not linked to a phone - it is linked to an online software. When the number is called, it goes to voicemail, then an automated text message goes out from the software. We do not have a way to answer calls, as we can handle everything we do via website and email.

We are able to see texts to the number listed on our website. You can expect a response to text messages within 1 business day.

6. How do I cancel the service?

You will need to visit the following page of our website:

https://www.ecommtaxservice.com/offboardingoptions

It is important to note that immediately upon canceling a subscription, all services will be suspended, including access to the Ecom Authority client portal, and any pending Sales and Use Tax Return filings. The service does not carry forward based on date of payment.

7. What is the initial cost? What is the monthly cost?

Ecomm Tax Service has a setup fee of $499, which is charged to your card upon signing up. After that, the monthly subscription is $99. The first monthly subscription fee will be charged one month from the day you signed up.

You may also see a $99 charge on your account when you sign up, alongside the $499, but this $99 charge will "fall off" your account - it will not actually go through. We do not control this. This is dependent on the card company and your financial institution. The reason the phantom charge is $99 is because that is the cost of our monthly subscription, and the card company or financial institution is "testing" to see if that amount is okay to put through on your account going forward.

The setup fee of $499 pays for the work our team does to gather your information and submit an application on behalf of your entity for Sales and Use Tax Exemption in Florida.

The monthly fee of $99 pays for the work our team does regarding the ongoing submission of exemption filings required by the state of Florida for your entity once registered for Sales and Use Tax Exemption, the storing of documentation for your entity, and the software provided to Ecom Authority/WTE Partners for their client portal.

8. Will Ecomm Tax Service provide me with any year-end documents?

Ecomm Tax Service does not provide any year-end tax documents. We are not responsible for assisting in reporting income or expenses for your business entity. Your entity should work with its own accountant or tax professional for assistance with reporting income and expenses. Each business entity owner is responsible for tracking and submitting all of the entity's income and expenses.

9. What do I do if I received a call from the Florida Department of Revenue?

The Florida Department of Revenue may call you directly. They want to speak with the owner(s) of the business entity. In most cases, they will place a phone call to the entity owner(s) for one of the following reasons:

1) To verify the owner(s) as real person(s) and verify that the entity should be registered for this exemption

2) To inform you of other tax registrations for which your entity may be eligible. You do not have to register for any additional services provided by the Florida Department of Revenue.

If the Florida Department of Revenue contacts you regarding your Sales and Use Tax Exemption status or returns, please take note of each specific question and send the specific questions to our team via email at team@ecommtaxservice.com, so we can provide you with the needed information. We are unable to contact the Florida Department of Revenue on your behalf if they called you directly.

10. How can I get copies of my entity's returns confirmations and other documents?

After a return has been filed, you can request a copy of the confirmation from us at any time by emailing us at:
team@ecommtaxservice.com

We do ask that you allow us until the end of the filing period before you make your request. Filing periods for each quarter end on the 20th of the month following the quarter. For example, the filing period for Quarter 1 (January-March) ends April 20th.

11. I would prefer to file my business's Sales and Use Tax Exemption returns myself. Can I do that?

If you wish to file your business's Sales and Use Tax Exemption returns yourself, you can do so, we just need to know this is your plan. You will need to have an active subscription to Ecomm Tax Service regardless of who is handling your Sales and Use Tax Exemption filings, though, if you are a client of Ecom Authority, since having an active subscription to the service is the only way to access the Ecom Authority client portal.

12. Why did my return not get filed?

There are a couple of reasons you could receive notification from the Florida Department of Revenue concerning a missing return:

1. There was an error with the Florida Department of Revenue's online filing system, causing the return to get categorized under the wrong period. This can be corrected by providing the Florida Department of Revenue with the return confirmation documents.

2. You did not have an active subscription during our team's filing period. Our team files quarterly returns from the 1st through the 20th of the month following the quarter (i.e. Quarter 1 returns will be filed during the period of April 1 through April 20). Our team files annual returns from the 1st through the 20th of January of the following year (i.e. 2024 returns will be filed during the period of January 1, 2025 through January 20, 2025). You must have an active subscription for the duration of the filing period to ensure your return is filed. Cancelation of your subscription before or during the filing period may result in your return for that period not being filed.

13. I am no longer working with Ecom Authority. Why am I still being charged for Ecomm Tax Service?

We are a separate company from Ecom Authority. While we provide Ecom Authority with the software for their client portal, we do not have access to the portal itself. The portal team at Ecom Authority is ultimately responsible for your access to their client portal. Given this, your portal access may be restricted once you exit your partnership with Ecom Authority. However, your subscription to Ecomm Tax Service remains active until you fill out one of the cancelation forms on our website and our team has had at least 3 full business days to offboard your account. Our team will continue to provide service for your entity for Sales and Use Tax Exemption return management until your account has been fully offboarded after cancelation through our website. Our team sends out an email notification to you through our CRM system once offboarding has been completed.

Clients may be utilizing part or all aspects of our service at any given time. Depending on each client's situation, some clients may only be utilizing portal access, while other clients may be only utilizing Sales and Use Tax Exemption return management; meanwhile, some clients are utilizing both aspects of the service. The monthly subscription fee of $99/month is applicable any time a client is utilizing part of or all aspects of the service.

If you need to cancel your subscription to Ecomm Tax Service, please do so by following the link listed above in FAQ #6.

13. I have been paying for Ecomm Tax Service, but Ecomm Tax Service has not been managing Sales and Use Tax Exemption returns on behalf of my entity. Can I get a refund on my monthly subscription fees?

Typically, the only reason our team would not have been managing Sales and Use Tax Exemption returns on behalf of your entity is because you did not fully complete the Client Intake form after registering for our service. After payment for the set up fee is processed, clients are automatically redirected to the Client Intake form. All fields of the form must be correctly completed in order for our team to receive notification that the form has been filled out, so they can begin the application process for the entity.

If any information is missing from the Client Intake form, our team will send you an email from our CRM software to notify you that you need to submit additional information in order for the team to proceed with the application. If this is not completed, the team is not able to submit an application for Sales and Use Tax Exemption on behalf of your entity.

Regardless of your entity's Sales and Use Tax Exemption status, you may still be utilizing part of our service by having access to the Ecom Authority client portal.

Clients may be utilizing part or all aspects of our service at any given time.
